Summary

The Health Information Management Specialist III supports key functions within the Health Information Management Department by ensuring that medical records are released according to state and federal guidelines and that medical records are properly entered into the electronic health record (EHR).

Position Reports To: Health Information Management Manager

Essential Functions

  1. Review authorizations for release to ensure required authorization elements are met.
  2. Process all properly authorized requests for medical information within department specified time frame.
  3. Write letters of explanation/requests for more information to expedite processing.
  4. Prepare invoices for all billable requests.
  5. Independently understand and apply the rules, regulations and laws governing release of medical information.
  6. Respond to a variety of needs and questions from third party customers such as patients, law firms, schools, insurance companies, etc.
  7. Scan and index authorizations or other records into EHR.
  8. Update patient demographics as necessary.
  9. Utilize vendor applications to process release requests.
  10. Performs quality audits on patient charts.
  11. Retrieve and refile paper charts from storage location Identify and trend technical issues regarding systems.
  12. Identify, investigate, and resolve missing documentation to finalize medical records.
  13. Work independently to plan and organize workload.
  14. Complete tasks within departmental guidelines and expectations.
  15. Assist operations with questions.
  16. Work effectively with co-workers, physicians, staff and patients.
  17. Meet departmental productivity and quality expectations.
  18. Other duties as assigned.

Qualifications

Required:

  • High school diploma/GED.
  • 10-key and typing skills.
  • Possess computer/technical skills.
  • Ability to read, write and communicate effectively.
  • Able to work amidst ongoing distractions and multi-task.
  • Be highly organized (i.e., filing systems and clerical processes).
  • Experience in working in a healthcare setting and EHRs.
  • Function in a fast-paced environment with deadlines.
  • Maintain strict confidentiality of all patient information.
  • Must possess critical thinking skills and think logically to solve problems.
  • Must exhibit a pleasant phone demeanor.
  • Ability to de-escalate concerns from patients.
  • High attention to detail to assure accuracy and completeness of work.
  • Must effectively function as part of a team.
  • Previous office experience required.

Desired:

  • Some college.
  • Previous experience working in a medical records department.
  • Previous experience processing medical record releases.
